				<content:encoded><![CDATA[<p style="font-weight: 400;">&nbsp;Microsoft recently implemented an auto-expiration setting for all Teams recordings to help users manage their files.</p>
<p style="font-weight: 400;">When you record a meeting in Microsoft Teams, the recording is stored in the OneDrive account of the individual who starts the recording, in a folder named <strong>Recordings</strong>. When it is ready for viewing, an announcement is added to the Meeting chat, letting you know the recording is available. As of mid-April, this recording notification includes a message that the recording is set to expire.</p>
<p style="font-weight: 400;">All recordings created since mid-April were assigned an expiration date.</p>

<p style="font-weight: 400;">If you have an A3 licence, the file will automatically move to the Recycle Bin 60 days from creation. A3 licence holders can also <a href="https://support.microsoft.com/en-us/office/record-a-meeting-in-teams-34dfbe7f-b07d-4a27-b4c6-de62f1348c24#bkmk_view_change_expiration_date">manage the expiration date of a recording</a>.</p>
<p style="font-weight: 400;">If you have an A1 licence, the file will automatically move to the Recycle Bin 30 days from creation. A1 licence holders cannot alter the expiration date.</p>
<h3 style="font-weight: 400;">Do I have an A3 or A1 licence?</h3>
<p style="font-weight: 400;">Not sure what kind of licence you currently have? Follow these steps to find out:</p>
<ul>
<li>Click on your thumbnail (picture of you or your initials) in the top right corner of the Microsoft app you are in (picture of you or your initials)</li>
<li>Click <strong>View account. </strong>Your “<strong>My account”</strong> information opens in a webpage.</li>
<li>Click <strong>Subscriptions </strong>to see yours.</li>
</ul>
<p style="font-weight: 400;">Recording owners will receive an email when the recording expires, after which they will have up to 30 days to recover it from the recycle bin. Once recovered, the recording will no longer expire automatically.</p>

<p>When you&#8217;re on the go, you can use the <a href="https://support.office.com/article/use-the-onedrive-mobile-app-cfc647ff-875f-4a24-a31f-9b72eb63361b">OneDrive mobile app</a> to access or share files and photos right from your mobile device. Download and install the OneDrive app for <a href="https://app.adjust.com/ln4d8q0">Android</a> or <a href="https://app.adjust.com/xj8urv3">iOS</a> to get started.&nbsp;</p>
<p>Storing your files in OneDrive also provides some file management advantages. These include viewing previous versions of documents, controlling who has access to your files and easily restoring deleted files and folders.</p>
<h3><b>View previous versions of OneDrive files</b></h3>
<p>Avoid mistakes by viewing previous versions of a file, comparing different versions and restoring a file back to an older version if necessary.</p>

<h3><b>Control who has access to your files</b></h3>
<p>You have control of who has access to your documents. When you share a file in OneDrive, you can choose who can see the file. Add an extra layer of security by setting an expiration date or a password on a shared file. You can also stop sharing at any time.</p>

<h3><b>Restore deleted files</b></h3>
<p>Did you accidentally throw away a file? In OneDrive, deleted files and folders are moved to the OneDrive Recycle bin. Files you delete from OneDrive are stored in the Recycle bin for 30 days before they are permanently deleted so you can easily recover a deleted file yourself.&nbsp;</p>

				<content:encoded><![CDATA[<p>As announced in December, Office 365 will be rolled out to staff, faculty, and researchers in 2020. The upgrade to Office 365 aligns with many of the same tools students have been using since 2013 and more. These include:</p>
<ul>
<li>An upgraded desktop version of Microsoft Office, making emails and the latest version of your documents accessible virtually anywhere and on nearly any device​;</li>
<li>New Microsoft tools including OneDrive, Teams and SharePoint, improving our ability to work collaboratively; and</li>
<li>Increased data protection and compliance with regulations and university policies.</li>
</ul>
<p>As a response to COVID 19, optional early access to Office 365 was offered to staff, faculty, and researchers to mitigate the immediate challenges of working and collaborating from home. Since then, over 3,000 users have received licenses, driven largely by the demand to adopt Microsoft Teams as a conferencing and collaboration solution. <a href="http://umanitoba.ca/about-um/tools-working-remotely#office-365">Early access</a> is still available for departments and faculties with approval from their director or dean.</p>
<p>In order to prepare for a successful implementation this summer, the project team will be reaching out to department and faculty IT support team members to:</p>
<ul>
<li>share information about Office 365;</li>
<li>answer questions;</li>
<li>understand your unique business needs; and</li>
<li>coordinate logistics to ensure a smooth and consistent implementation experience for everyone.</li>
</ul>
<p>The Office 365 project team will work with departments and faculties to better understand your needs, and to plan a successful implementation this summer.</p>
