Update: Feb. 26, 2021

As of Feb. 26, auto-generated individualized T2200S forms have now been emailed to all employees. The T2200S form is for claiming expenses for working from home during COVID-19 according to the Detailed Rate Method as outlined below.

Receipt of this form does not constitute eligibility; employees should consult with a tax advisor or accountant to determine eligibility in claiming this deduction.

Please review the below details carefully.

Disclaimer: The form is provided as a courtesy. UM accepts no responsibility for the manner in which individual employees complete their income tax returns. UM disclaims responsibility for an employee’s interpretation of income tax legislation or other Canada Revenue Agency guidance.

The following is a message from Naomi Andrew, Acting Vice-President (Administration). A version of this was shared via an all-staff email on Jan. 29, 2021:

In December 2020, we shared news of the recent change introduced by the Federal Government to allow employees working from home in 2020 due to COVID-19 to claim up to $400, based on the amount of time working from home, without the need to track detailed expenses, and will generally not be requested to provide a signed form from their employers.

This Temporary Flat Rate Method will help taxpayers access deductions they are entitled to receive and simplify the tax filing process.

Through their website, the Canada Revenue Agency (CRA) has now provided additional information on how employees will be able to claim remote work expenses.

Two options for claiming remote working expenses

Employees have the option of using the “Temporary Flat Rate Method” described above — or the “Detailed Method,” which requires employees to track allowable expenses based on defined use-criteria and the employer to provide a T2200 Short Form (T2200S).

Full information regarding the two options can be found here on the CRA website.

We encourage all employees to visit this site to learn more about their options and to determine which process will better meet their individual needs.

More on assessing options, individualized T2200S form

To assist with this decision the CRA website also includes a calculator specifically designed to assess eligible home office expenses. This will help employees to make an informed choice about whether the additional effort required for the Detailed Method is worthwhile for them.

While we believe that the Temporary Flat Rate Method will be welcome news for most of our employees given its ease of use and deduction level, we do understand that there may still be situations where the Detailed Method is preferred.

As such, UM will provide all staff * with an auto-generated T2200S form, to be distributed via email, before the end of February. *Some exceptions in Physical Plant and Security Services that have remained working on campus.

[Note: Individualized T2200S forms were sent out Feb. 26].

It is the responsibility of each employee to determine their own personal eligibility to claim home office expenses based on the criteria set forth by the CRA.

I encourage all employees to seek independent tax advice when preparing their 2020 tax returns.

Aurora INB will be upgraded to Aurora Banner 9 Administration Forms from 5 p.m. Wednesday, November 21 to 9 a.m. Monday, November 26.

The new Administration Forms deliver a number of important enhancements, including:

A new look and feel that modernizes the user experience

Greater flexibility to run Banner on any browser or mobile device

A solid foundation to deliver additional capabilities

Improved security

What this means to you:

If you use Aurora INB to view, create, or update records/transactions, such as students’ records or journal entries, then Aurora Banner 9 Administration Forms will modernize how information is displayed and accessed.

Orientation and Training:

Aurora Student orientation sessions will be offered throughout October and November at both the Bannatyne and Fort Garry campuses.

General Navigation sessions will provide an overview of the new look of Banner 9. All Aurora Student INB users should plan to attend to become comfortable with finding information in student records.

Advanced, hands-on sessions will be available for users who update student records or schedule courses.

All users will receive an email with a registration link for the training. Choose a session that suits your schedule.

Aurora Finance will provide hands-on navigation and process classes designed for users who enter financial information or query transactions in Aurora Finance. These classes will begin in November at both the Bannatyne and Fort Garry campuses.

Join our trainers in the classroom to see what’s new in Banner and learn how to navigate the upgraded system. Participants will get hands on practice creating common financial tasks such as journal entries and interdepartmental charges.

Sessions will be available on the Learning and Organizational Development Registration tool in the Aurora Finance category and will be announced through the Aurora Finance Client email list.

T4 slips for 2017 and any subsequent years will now be provided to all active employees through electronic access to U of M’s Employee Self Service (ESS) portal.

You will be able to view or print your T4 slips in a convenient manner similar to the way you currently access your pay statements through secure log-in to ESS, which has been operational for several years: https://jump.portal.umanitoba.ca/

The recently-announced federal budget for 2017-2018 included amendments to the Income Tax Act that now allows employers to use electronic distribution of T4 slips as their default method. Canada Revenue Agency (CRA) officially recognizes the electronic delivery as a valid means of providing tax slips to individuals.

It is important to note that:

For all Active U of M employees, no paper copies will be printed. Only an email notification will be sent to each employee, informing them that their tax slip is available on ESS.

Any Staff on Research/Study and Admin Leave (RSL) is considered an Active Employee.

If you are an active U of M Employee and cannot access/print your T4 through the ESS, then you have the option to request for printed paper T4 slip. A request form is available on Payroll website.

Please complete and submit the original request form to Payroll Services. All request forms must be received by 4:30pm (CST) on 7th February 2018. Any requests received after 7th February will not be processed until after the third week of March.

All former employees or anyone on extended leave will receive their T4 slip in paper format.

Anyone who has been on leave status for more than 20 days is considered to be on extended leave.

For those individuals who will be receiving paper T4 slips, please note that paper slips will be distributed by the last working day of February. It is also important to ensure that your home address is up-to-date in our system. Address update can be made via ESS directly or by contacting HR help desk.
