<p><strong>Why cybersecurity matters for everyone at UM</strong></p>
<p>Cyber threats are evolving rapidly, and higher education institutions like ours face increasingly sophisticated risks. The university is focused on strengthening our defenses and making cyber safety a shared responsibility across campus.</p>
<p>But cyber security isn’t just about avoiding threats right now—it’s about setting yourself up for a safer, easier future. Whether you’re a student, staff member, or faculty, the steps you take today can save you time and stress down the road.</p>
<p><strong>UM’s Commitment: Training, awareness, and support</strong></p>
<p>UM is continually rolling out programs designed to equip our community with the knowledge and tools to protect personal and university information, as well as our digital infrastructure. As part of this commitment, we are offering cybersecurity and privacy awareness training for all faculty and staff and researchers.</p>
<p>The online training program is offered through the Microsoft 365 platform (Microsoft Defender), consists of 6 modules, and takes 45-60 minutes to complete. <h3 id="what-happens-if-you-are-currently-over-the-new-limit" class="headingSpacingAbove headingSpacingBelow">What happens if you are currently over the new limit?</h3>
</div>
<ul class="customListStyle">
<li class="fontSizeXLarge"><span class="fontSizeXLarge"><strong>You have up to six months to review and clean up your files and email to meet the new quota. All accounts should be within the new quota no later than February 28, 2026. &nbsp;</strong></span></li>
<li class="fontSizeXLarge"><span class="fontSizeXLarge">You will get an&nbsp;<strong>extra 25 GB</strong>&nbsp;to help with cleanup. This extra space will be removed once you&#8217;re back within quota. For example, if you are currently using 225 GB of storage, your new temporary limit will be 250 GB. This gives you time to clean up and reorganize your files before the new quota takes effect.</span></li>
<li class="fontSizeXLarge"><span class="fontSizeXLarge">If you are currently over the new quota, over the next few weeks, the project team will reach out to you to help identify the best storage solutions for your needs.&nbsp;</span></li>
</ul>
<p><span data-contrast="auto">Microsoft OneDrive, Outlook and SharePoint will notify you within these applications when you are at 80% storage used or are over the limit. Should you exceed these limits, you will </span><b><span data-contrast="auto">lose the ability to send email</span></b><span data-contrast="auto"> and/or your </span><b><span data-contrast="auto">documents in OneDrive or SharePoint will be converted to Read Only</span></b><span data-contrast="auto"> until your storage is reduced.</span><span data-ccp-props="{}">&nbsp;</span></p>

<li><b data-olk-copy-source="MessageBody">Bring your own device and portable equipment &#8211; </b>Focused connecting laptops, MacBook’s, iPad to the control panel and display and demonstrations of the portable projector and document camera.</li>

<h3><span data-olk-copy-source="MessageBody">What you need to know</span></h3>
<ul>
<li><span data-olk-copy-source="MessageBody">We encourage you to attend these demonstrations of the equipment you will be using in order to be fully prepared as audio visual classroom support is not resourced to start every class (confidence start).</span></li>
<li><span data-olk-copy-source="MessageBody">Blended or hybrid teaching, where a combination of students are both in class and remote, is currently not supported at the University of Manitoba. Should you wish to discuss this topic further please contact Mark Torchia, Vice Provost (Teaching and Learning).</span></li>
<li><span data-olk-copy-source="MessageBody">Audio visual classroom support will respond to any urgent in-class issues that you may encounter. Contact the IST Service Desk at 204-474-8600 and we will strive to respond in person within 10 minutes.</span></li>

				<content:encoded><![CDATA[<p>DeepSeek, (Hangzhou DeepSeek Artificial Intelligence Basic Technology Research Co., Ltd.) is a large language model Artificial Intelligence (AI) chatbot launched in February 2025. It has quickly become a popular AI application.</p>
<p>However, third party audits and UM internal investigations have identified numerous security and privacy concerns, including a lack of data transport layer security and several below standard data encryption practices. DeepSeek also collects extensive data (including personal information) and, as a result of insecure practices, this data is at risk.</p>
<p>These concerns have prompted the Canadian federal government and several Canadian universities to take precautionary action by banning the use of DeepSeek.</p>
<p>After careful review by IST and the Provost Office, several recommendations were proposed to safeguard the safety and privacy of UM members. These recommendations have been approved by the President’s Executive Team and the following regulations now apply to all UM students, faculty, and staff.</p>
<h3>New regulations:</h3>
<ol>
<li>All members of UM must remove DeepSeek from any UM owned devices or any other devices (including personal devices) that connect to the UM network.</li>
<li>IST will block the DeepSeek domain and URL’s on the UM campus firewall.</li>
<li>IST will block DeepSeek (via Intune and Defender application firewall) on any devices that are managed with Intune or Defender applications.</li>
</ol>
<p>Exceptions may be considered for academic purposes. 				<content:encoded><![CDATA[<p>The University of Manitoba is excited to add a feature in Microsoft 365 that allows users to add their pronouns to their profile cards. This optional feature aims to create a more inclusive and welcoming environment for everyone.</p>
<h3>Why Pronouns Matter</h3>
<p>Pronouns are an essential part of respecting individuals&#8217; identities and fostering a sense of belonging. By including pronouns on profile cards, we take a significant step towards honoring personal identities and creating a supportive space for people of all genders.</p>
<h3>How It Works</h3>
<p>The pronouns feature is off by default but can be enabled by those who wish to add their pronouns to their profile cards. This feature is now available across various Microsoft 365 applications at UM, including Outlook, Teams, and Microsoft Search. You can enter your pronouns, which will then be visible to anyone within our environment, including guest accounts.</p>
<h4>How to add, change, or delete&nbsp;pronouns on your profile in&nbsp;Microsoft 365</h4>
<h5>&nbsp;Microsoft Teams</h5>
<ol>
<li>Select your profile picture in the upper right corner of Teams, then select your name/email address.</li>
<li>On your profile card, select <strong>+ Pronouns</strong> or the pronouns listed below your name.</li>
<li>To add or change your pronouns, select from the examples (only available in English), or enter your own. To delete, remove your pronouns.</li>
<li>Select <strong>Save</strong> to update your profile. Select <strong>Cancel</strong> if you don&#8217;t want to save your changes.</li>
<li>Select<strong>Got it</strong>&nbsp;to exit the confirmation dialog.</li>

<h5>Microsoft Teams (mobile)</h5>

<li>Open Teams on your mobile and select your profile picture. Your profile card will display.</li>

<li>Select and open one of your sent messages.</li>
<li>In the opened message, click on your Profile image</li>
<li>Select the <strong>+Pronouns</strong> or the pronouns listed below your name.</li>
<li>To add or change your pronouns, select from the examples (only available in English), or enter your own. To delete, remove your pronouns.</li>
<li>Select <strong>Save</strong> to update your profile. Select <strong>Cancel</strong> if you don&#8217;t want to save your changes.</li>
